Terms of Service - Paid Subscriptions

These VetVerifi Paid Subscription Terms (“Paid Terms”) govern any paid plan, add-on, or trial you purchase from VetVerifi, Inc. (“VetVerifi,” “we,” “us”). They incorporate by reference the VetVerifi Terms of Service (“Main Terms”) and Privacy Policy. Capitalized terms not defined here have the meanings in the Main Terms. If these Paid Terms conflict with the Main Terms, these Paid Terms control for paid plans.

By starting a paid plan, trial, or add-on (each, a “Paid Subscription”), you agree to these Paid Terms.

1. What a Paid Subscription includes

  • Plan descriptions. Current plans, features, usage limits, and pricing are described at checkout or on your order form/account billing page (“Order”).

  • Business use. VetVerifi’s services are provided to organizations (e.g., pet services operators, multi-family housing providers, franchises) for business use only; you are responsible for your users’ compliance.

  • Service changes. We may modify plan features or content to improve security, performance, or user experience. If we make a material, adverse change to your current plan, we’ll give reasonable advance notice and a right to cancel before the change takes effect.

2. Term, auto-renewal, and cancellation

  • Auto-renewal. Unless stated otherwise on your Order, Paid Subscriptions renew automatically for the same term (monthly by default) and at the then-current price until you cancel.

  • How to cancel. You can cancel anytime in your VetVerifi account’s Billing page or by emailing support@vetverifi.com from your admin email. Cancellation takes effect at the end of your current billing period; access continues until then.

  • No refunds. Fees are non-refundable and non-creditable once a billing period starts, including for partial months, downgrades, or unused services—except where required by law or where we have expressly agreed in writing.

  • Suspension/termination. We may suspend or terminate for non-payment, violation of the Main Terms, abusive or fraudulent use, or legal/compliance risk. If we discontinue a plan entirely, we’ll stop charging for it going forward.

3. Fees, payment, and taxes

  • Billing. You authorize us (or our payment processor) to charge your payment method for the subscription fees, add-ons, overages, and applicable taxes shown on your Order.

  • Overdue amounts. Late amounts may incur a finance charge, service suspension, and collection costs to the extent permitted by law.

  • Price changes. We may change prices with reasonable advance notice; new prices apply at your next renewal unless you cancel before renewal.

  • Taxes. Fees are exclusive of taxes. You’re responsible for all applicable taxes, duties, and government charges (excluding our U.S. income taxes).

4. Trials, promos, and discounts

  • Trials. If a trial is offered, its length and any usage limits will be shown at sign-up. When a trial ends, your plan converts to a paid plan and your payment method is charged unless you cancel before the trial ends.

  • Free vs. paid trials. If your trial is free and you cancel during the trial, access ends immediately. If your trial is paid/discounted and you cancel during the trial, access continues through the end of the trial period.

  • Eligibility. Trial and promotional eligibility is determined by VetVerifi. We may limit eligibility (e.g., one trial per organization) and may modify or end promotions at any time.

5. Usage limits and overages (when applicable)

  • Included usage. Your plan may include limits (e.g., locations, users, verification requests, API calls). Limits are stated on your Order or billing page.

  • Overage fees. If you exceed limits, you authorize VetVerifi to charge overage fees or to throttle/limit access until you upgrade or the next billing period begins.

  • Upgrades/downgrades. Upgrades take effect immediately and may be prorated; downgrades take effect at the next renewal.

6. Add-ons and third-party services

  • Add-ons. Optional features (e.g., premium APIs, advanced analytics, priority support) may have separate fees/terms. We’ll present those terms at purchase; they become part of these Paid Terms.

  • Third-party integrations. If you enable integrations (e.g., CRMs, scheduling systems), your use of those services is governed by their terms and privacy policies. We’re not responsible for third-party services.

7. Data, records, and compliance

  • Record access. VetVerifi facilitates vaccine record verification and related workflows. We do not provide medical advice and are not a veterinary practice.

  • Your responsibilities. You are responsible for (i) obtaining necessary rights/consents to submit data to VetVerifi; (ii) ensuring your use complies with applicable laws, client agreements, and clinic policies; and (iii) configuring your account settings and retention to meet your requirements.

  • Privacy. We handle personal information under the VetVerifi Privacy Policy. Do not use the service to upload sensitive information beyond what is necessary for verification.

8. Account administration

  • Primary admin. You must designate at least one admin with authority to manage billing, plans, and users. Actions by your admins are deemed authorized by you.
    Security. You’re responsible for maintaining the confidentiality of credentials and for activity under your accounts.

9. Service availability and support

  • Availability. We strive for reliable service but do not guarantee uninterrupted availability. Planned maintenance will be scheduled when feasible to minimize impact.

  • Support. Standard support channels and hours are posted in the VetVerifi Help Center or your Order. Enhanced support may be available as an add-on.

10. Disclaimers; limitation of liability

  • No warranties. EXCEPT AS EXPRESSLY SET OUT IN WRITING, THE SERVICE AND ANY PAID SUBSCRIPTIONS ARE PROVIDED “AS IS.”

  • Limitation. TO THE MAXIMUM EXTENT PERMITTED BY LAW: (A) NEITHER PARTY IS LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES; AND (B) EACH PARTY’S TOTAL LIABILITY ARISING OUT OF OR RELATED TO THESE PAID TERMS IS LIMITED TO THE AMOUNTS YOU PAID TO VETVERIFI FOR THE PAID SUBSCRIPTION IN THE 6 MONTHS BEFORE THE EVENT GIVING RISE TO LIABILITY.

  • Exclusions. The above limitations do not apply to your payment obligations, your breach of the licenses/restrictions in the Main Terms, or either party’s willful misconduct.

11. Changes to these Paid Terms

We may update these Paid Terms from time to time. If we make material changes, we’ll provide reasonable advance notice (e.g., in-app notice or email). Continued use after the effective date constitutes acceptance of the updated terms.
